Supplier Terms & Conditions

These terms govern your participation as a transport supplier in the BA Transfer network, operated by BA Int Ltd (“BA Transfer”, “we”, “us”). By submitting an application through this portal and accepting work via it, you agree to these terms.

1. Eligibility

You confirm that you and any drivers operating on your behalf:

  • hold a current and valid private hire / taxi operator licence in your operating area;
  • hold up-to-date public liability and motor insurance covering hire and reward use;
  • comply with your local data protection registration requirements (ICO registration in the United Kingdom);
  • are entitled to work and operate vehicles for hire in the jurisdiction(s) where you accept jobs;
  • maintain all vehicle documentation (MOT, road tax, vehicle licence) in good order.

You must notify us within 48 hours of any change that materially affects your eligibility — including licence suspension, insurance lapse, or loss of a key driver.

2. Account and access

You are responsible for keeping your portal credentials confidential. All activity carried out under your account — including quote submissions, job acceptances and driver allocations — is deemed to be carried out by you. We may suspend or revoke account access at any time if we reasonably believe credentials have been compromised, if you breach these terms, or if your supporting documentation expires.

3. Service provision

Each job offered through the portal is an invitation for you to submit a price. Accepting a job (via portal award) creates a binding obligation to perform the transfer to the standards below. You must:

  • arrive at the pickup location at or before the time stated in the job;
  • provide a vehicle that meets the booked category and seating requirements;
  • carry any baby/child seats indicated in your supplier profile when the booking requires them;
  • complete the transfer using a properly licensed driver and a roadworthy vehicle;
  • conduct yourself and your drivers professionally toward all passengers.

Material failure to perform an awarded job (including no-show, late arrival, or non-compliant vehicle) may result in chargebacks, removal from future job routing, and account suspension.

4. Commission and payment

The price you quote and we award is the amount you will be paid for the job, less the network commission stated in your supplier profile (default 25%). Payment is made via the weekly settlement run on the bank account you register in the portal. Settlements typically cover the previous week’s completed and confirmed jobs.

You are responsible for any taxes (including VAT where applicable) on amounts paid to you, and for invoicing us if your tax position requires it.

5. Passenger data and confidentiality

Passenger contact details, addresses and booking specifics revealed to you through the portal are confidential. You and your drivers may use them only to perform the awarded job. You must not store, share, market to, or otherwise process passenger data outside of providing the transfer service. You agree to handle all personal data in accordance with applicable data protection law (including UK GDPR and the Data Protection Act 2018).

6. Cancellations and disputes

If a passenger cancels a booking, the cancellation policy applied to the customer governs what is payable to you. If you need to cancel a job you have accepted, you must notify us as soon as possible to allow re-routing; repeated supplier-side cancellations may result in suspension.

Disputes over a specific job should be raised in writing to contactus@batransfer.com within 14 days of the pickup date. We will investigate fairly and respond within a reasonable time.

7. Liability and insurance

You and your drivers carry primary liability for the safe carriage of passengers and property during awarded jobs. You agree to indemnify us against any claims, damages, losses or costs arising from your performance of an awarded job, except to the extent caused by our own negligence or wilful misconduct.

To the maximum extent permitted by law, our liability to you in connection with these terms is limited to the commission we have received from you in respect of the specific job giving rise to the liability. Nothing in these terms limits liability that cannot lawfully be limited (including death or personal injury caused by negligence, or fraud).

8. Termination

Either party may terminate the supplier relationship at any time on 7 days’ written notice. We may terminate immediately if you breach a material term, if your licences or insurance lapse, or if continued participation would pose a risk to passengers. On termination, any awarded jobs scheduled before the termination date remain payable on the next settlement run.

9. Changes to these terms

We may update these terms from time to time. Material changes will be notified by email to the address on your supplier account at least 14 days before they take effect. Continuing to accept jobs after the effective date constitutes acceptance.

10. Governing law

These terms are governed by the law of England and Wales. The courts of England and Wales have exclusive jurisdiction over any dispute arising from these terms, subject to any mandatory consumer-protection or supplier-protection rules that apply in your country of operation.
